Position Description for Administrator

The Arlington Committee of 100 is a 70-year-old nonprofit that provides a neutral space each month from September through June for discussion of important community, regional, and state issues that affect Arlington. The Administrator is a part-time position that supports program execution, helps communicate programs using a variety of communication and social media tools, supports the volunteer Board of Directors and is responsible for several administrative responsibilities.

  • Hiring is on a contract basis.
  • Salary is negotiable.
  • Primarily remote work except when supporting in-person programs. 
  • Assume on average 10-12 hours per week, primarily during September-June.

  • Good relationship skills. Will be interacting with senior community leaders and officials.
  • Shows good judgement, discernment and discretion. Demonstrates good organizational skills.
  • Familiar with managing social media accounts, making website edits, Zoom for our virtual meetings, and graphics such as Canva, Photoshop and other apps. 

 


Responsibilities

Monthly Program and Communications Support

  • Confirms monthly program speakers and provides them appropriate guidelines for their appearance and presentations.
  • Ensures that the presenters and C100 board have the necessary pre-program Zoom/room instructions (depending on whether program is virtual, in-person or both). 
  • Performs all Zoom programming.
  • Gathers correct titles, photographs, and websites from program speakers in a timely fashion.  
  • Helps to produce and upload program information to a wide variety of communication platforms (YouTube, Facebook, Instagram).
  • Updates the Website. 
  • Supports Arrangements Committee in choosing and contracting with the right in-person program spaces and ordering the food/beverages.
  • Assists with check-in at in-person programs when needed. 
  • Ensures the appropriate thank you notes to speakers and donors are done in a timely fashion.

Administrative Support

  • Supports fundraising efforts and tracks donations.
  • Maintains Constant Contact account and contact list and updates on a regular basis 
  • Assists in setting up Board meetings (Agenda, Zoom, presentation materials) and other meetings as appropriate.
  • Maintains C100 Gmail account and ensures all documents are up to date (board minutes, by-laws, etc.).
  • Manages access by board members to various C100 websites and accounts. 
  • Checks PO Box on a regular basis.
  • Maintains and updates Board Member list.
  • Assists in updating the C100 Handbook produced in 2014, to include updating current guidelines to produce programs and communicate those programs.
